Media assets & rights

Which media can you use in this product?

Finding a suitable image is often easier than establishing whether its licence covers the intended use. Information is scattered, rights expire and an existing asset is selected for a new product. SiteFusion brings media, recorded licences, validity periods and usage information together in the publishing context. Editorial and rights teams gain a shared basis for resolving open questions before publication.

  • Understand the recorded licence and usage conditions for each asset
  • Keep track of validity periods and unresolved rights questions
  • Connect intended use and rights clearance within the workflow

IN PRACTICE

Consider licence, validity and use together.

Which licence is recorded?

Usage information belongs with the asset and its intended use. Licensors, conditions and available evidence can be brought together in the agreed data model, reducing the need to start each clearance with a search through separate repositories.

When does permission to use it expire?

Recorded validity periods make time-limited rights visible. For a new edition or later publication, responsible teams can check whether the intended use remains within the recorded period. Expiry checks and follow-up tasks can be integrated into the workflow according to agreed rules.

Does the licence cover the new use?

An asset may appear in several products, so rights need to be considered in the context of each use. The project defines the relevant attributes, such as product, output channel or print-run limits, and the information needed to make a decision.

Resolve unclear rights deliberately

Missing licence details or unresolved rights can trigger a defined review. The workflow can include a clearance task before approval. Notifications, checks and restrictions are agreed for each project and depend on the maintained data.

Example: reuse an existing image

An editor selects an image for a new product. Before approval, the recorded licence, validity period and conditions are checked against the intended use. Open questions go to the responsible person. Use is approved after the required review. This kind of workflow creates transparency and helps avoid accidental use outside documented conditions.

Frequently asked questions

Does SiteFusion automatically know which rights we own?

The basis is the recorded licences, conditions and rights information. SiteFusion makes this information usable within the workflow; missing or unclear details require review by the responsible team.

Can an approved image be used everywhere?

A previous approval does not automatically settle a new use. The product, period and other recorded conditions must match the intended use. This check can be embedded in the publishing workflow.
